This Privacy & Cookie Policy explains how iLeads Ltd (“we”, “us”, “our”) collects, uses and protects your personal data when you use FleetTracking.io (fleettracking.io) (“the website”). FleetTracking.io helps UK businesses compare vehicle tracking and fleet management quotes by matching enquiries with trusted suppliers. iLeads Ltd is the data controller responsible for your personal data.

1. Who we are

The website is owned and operated by iLeads Ltd, a company registered in England and Wales under company number 11106552, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. We are registered with the Information Commissioner’s Office (ICO) under registration number ZA774850. You can contact our Data Protection Officer using the details in the “Contact us” section below.

2. The personal data we collect

We collect and process the following categories of personal data:

  • Enquiry data you provide through our forms: your first and last name, email address, telephone number, postcode, any business name you give us, and details about your fleet and tracking requirements.
  • Consent data: a record of the consent you give when you submit an enquiry, including the date, time and the wording you agreed to.
  • Communication data: records of your communications with us and with the suppliers we match you with.
  • Technical and usage data: your IP address, browser and device information, and how you interact with the website, collected through cookies and similar technologies (see the “Cookies” section below).

3. How we use your data and our lawful bases

We use your personal data to:

  • match your enquiry with suitable suppliers and pass your details to them so they can contact you about your requirements (lawful bases: your consent, and our legitimate interests in operating the comparison service);
  • provide, maintain, secure and improve the website and our service (legitimate interests);
  • contact you about your enquiry and respond to your queries (consent / legitimate interests);
  • keep records of consent and comply with our legal and regulatory obligations (legal obligation).

We do not use your enquiry data for unrelated marketing, and we do not sell your personal data.

4. Who we share your data with

  • Trusted suppliers. When you submit an enquiry, your details are shared with up to three (3) vetted vehicle tracking suppliers so they can contact you with quotes. These suppliers are independent businesses and become separate data controllers of your information once they receive it; their own privacy policies will then govern how they use it.
  • Service providers. Third parties who process data on our behalf and under contract, including Supabase and DigitalOcean (website hosting and database), Resend (email) and Twilio (telephone and SMS), which we use to deliver and track enquiries.
  • Analytics and advertising partners. Where you allow analytics or marketing cookies, we use analytics tools, such as Google Tag Manager and the tags loaded through it, to understand how the site is used. On sites where we advertise, we also use the Meta (Facebook) Pixel from Meta Platforms, Inc. to measure our advertising and to show relevant ads, including to people who have already visited the site. These technologies do not run until you accept them (see the “Cookies” section below).
  • Our CRM (partner applicants only). If you apply to work with us through our “become a partner” form, the details you submit are sent to our customer relationship management provider, GoHighLevel (HighLevel, Inc.), so we can follow up about your application. This applies to businesses applying to become a supplier, not to customers submitting an enquiry.
  • Legal and regulatory. We may disclose data where required by law, to enforce our terms, or to protect the rights, property or safety of iLeads Ltd, our users or others.

5. International transfers

Your personal data is primarily stored and processed within the UK and the European Economic Area. Some of our providers, including Google, Meta Platforms and GoHighLevel, are based in or transfer data to the United States. Where data is processed outside the UK/EEA, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, and, where a provider is certified, the UK Extension to the EU-US Data Privacy Framework.

6. How long we keep your data

We keep your enquiry and contact data for as long as needed to provide the service and handle any follow-ups, and then for a limited period to meet our legal obligations and resolve any disputes – generally a minimum of 6 months and up to 12 months after your last contact with us, unless a longer period is required by law. Technical and usage data is generally kept for up to 36 months.

7. Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict or object to our processing of your data;
  • data portability; and
  • withdraw your consent at any time (this does not affect processing carried out before you withdrew it).

To exercise any of these rights, please contact our Data Protection Officer (see below). You also have the right to complain to the ICO at ico.org.uk, although we would welcome the chance to resolve any concern before you do so.

8. Cookies and similar technologies

We use cookies and similar technologies (including browser storage) in three groups:

  • Necessary: required for the website to work and to remember your cookie choice. These are always on and cannot be switched off.
  • Analytics: set only with your consent. We use analytics tools, such as Google Tag Manager and the tags loaded through it, together with our own first-party measurement, to understand how visitors find and use the site so we can improve it.
  • Marketing: set only with your consent, on sites where we run advertising. Where we do, we use the Meta (Facebook) Pixel to measure the performance of our advertising and to show relevant ads, including to people who have already visited the site. This involves sharing limited event data with Meta.

When you first visit, a banner asks for your choice. Nothing in the Analytics or Marketing groups runs until you accept it, and declining is as easy as accepting. You can change or withdraw your choice at any time using the “Cookie settings” option on the site, or by clearing cookies in your browser. Blocking necessary cookies may affect how the website works.

9. Security

We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we work hard to safeguard your information.

10. Children

Our service is intended for adults and is not directed at children. We do not knowingly collect personal data from anyone under the age of 18.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page, with the “last updated” date shown at the top.
